Work Order Guide

Work Orders are closely related to the Maintenance Plans. Each Asset could have a Maintenance plan to prevent breakage of the assets.

Work Orders tab is in the Tasks section, right after Purchase Orders:

How to create Work Orders?

There are two possible ways for the Work Order to be created.

  • Automatically – Those Work Orders which have Preventative Maintenance as a Work Order Trigger are created automatically. Each Asset is possible to have Maintenance plan which is in the section Settings. For more information read the article about Maintenance.
  • Manually – by clicking New on the top Ribbon.

The fields which must be filled when creating a Work Order:

  • Asset – After choosing one of the assets, the category, group, vendor, serial number, and internal number are filled automatically by the system.
  • Type – There are a few different types of the work orders – Install/replace, Inspect/Measure, etc.
  • Priority – The priority for the work order could be Low, Medium, Important, Urgent.
  • Expected Start Date
  • Expected Due Date
  • Expected Duration – the time that is needed for the maintenance
  • Description

The next step in the Business Process Flow is to assign the Work Order. There is an available option for cancelling the order. If choose this option, the work order will be inactive.

After choosing the assignee, the work order can be marked as started. Also, it could be canceled on this stage too. Once it is marked as started it will be automatically assigned to the chosen user.

The last stage in the Business Process Flow is to mark the Complete status of the Work Order. It could be Completed or Not Completed. If the order is Not Completed the field Status Reason is unlocking and the user must choose the reason. It could be Non-repairable, Faulty or Broken. This could be a reason for Automatic Disposal.

There is an available option on the tab Notes and Docs to attach an important information about the Work Order. For example, pictures of the damaged asset:

The system could generate a document with an important information about the Work Order:

Kanban Task Manager

One of the available views in the Work Orders is the Kanban Task Manager:

The lanes could be grouped by few different ways:

  • Expected Start Date
  • Expected Due Date
  • Work Order Priority
  • Work Order Type
  • Assignee

If we choose to group the lanes by Assignee for example, we could move the Tasks between people.

They could be sorted by many options.
