Disposals Guide

From the prospective of Asset Insider, disposal is a process, on which assets are not valid for proper use and should be removed.

Where to find the Disposals?

The Disposals tab is on the bottom of the Side Menu in section Disposal Stage.

How to Create a New Disposal

There are three ways the disposal to be created like a record in the system – Automatically, Manually and with a Proposal.

Proposal

Every asset has planned time for its lifecycle. After this time is close to the end the asset is automatically send for the disposal, if there is an available disposal scenario which has been set for the current asset.

Also, there is a possible process of approval, so once the disposal is approved, the asset is disposed and the whole disposal and the asset are set to inactive. There is an option for a successor asset, which will be used instead of the disposed one.

Automatically

The asset could be disposed automatically. This will happen when the asset’s availability status is marked as Lost, Sold, Replace, or the asset’s condition is marked as non-Repairable. For example, if an asset is under Service Order and the outcome is that the asset is with availability status Replace, the disposal will be created automatically. Also, if the asset is under Work Order and the outcome is that the condition of the asset is marked as non-repairable, the disposal will be created automatically too.

Manually

The asset could be disposed manually. For example, it is broken, and it couldn’t be fixed properly, or it is lost, so we need to dispose it in the system.

Click on the button “+ New”.

All fields with * are mandatory.

There is an option to choose a successor asset if there is an available one. The disposal scenario could be Sell, Disassemble, Return, Scrap, Replace, Lost, Sold, or other.

There are two available options to finish the disposal – Complete and Cancel.

After choosing the Complete option - the disposal will be completed, the asset will be disposed and inactive and the whole disposal too.

After choosing the Cancel option – automatically the asset will be back, and its reservation status will be turned to Free.

Result

Once the disposal is finished the database will generate an event related to the asset. You can see it in the tab Timeline:

There is an available option for Approval policy. For more info read the chapter related to the approvals.

Document Template

An option for both active and inactive disposals to generate a word document with all the information about the disposal is available in every disposal on the top ribbon.
